Note: This feature is currently in preview and available to a limited number of customers. We will make this available more widely soon.
Bring your whole team together to build winning responses in Loopio. Collaborators, SMEs, reviewers, and admins can co-author in real time, suggest changes, and comment inline, all in one place. Every contribution is tracked with a complete audit trail, so your team can move faster without losing visibility or control.
What Collaborative Authoring provides
- Flexible workflow modes: Project owners can assign questions and sections, then choose whether teams work simultaneously or in sequence.
- Edit and Suggestion modes: Make changes directly in Edit mode, or switch to Suggestion mode to propose changes that others can accept or reject.
- Inline comments: Tag comments to specific text so feedback lands exactly where it's needed.
- Version history and restore: Snapshots capture the history of each project entry, and you can restore a prior version if required.
Getting started
1. Enable Collaborative Authoring (admins)
- Go to Admin > Site Settings.
- Toggle Collaborative Authoring ON.
2. Turn on co-authoring for a project
In your project, toggle Co-authoring ON to support the project with Collaborative Authoring workflows.
3. Use Suggestion mode
Switch from Edit mode to Suggestion mode to clearly track proposed edits.
- Additions are highlighted in green.
- Removed text is highlighted in red.
- Each suggestion can be accepted or rejected.
4. Add inline comments
- Highlight the text you want to comment on.
- Click the comment icon in the toolbar.
- Enter your comment and @mention another user if needed.
Open inline comments are visible and highlighted in yellow.
5. Filter project entries by suggestions or comments
Click the filter at the top of the project, then choose Has Comments or Has Suggestions to narrow the list of entries.
6. Assign entries and choose a workflow
When you assign users to a project entry, choose one of two workflow modes:
- Work in Parallel: Assignees can edit the same entry at the same time.
- Work in Sequence: Assignees work on the entry one after another, in order.
7. View Entry History and restore a version
- Open the three-dot menu on the entry.
- Click Entry History to see a full audit trail.
- Select a prior version and restore it if needed.
Choosing the right mode
When to use Work in Parallel
- Questions that benefit from input from several SMEs or collaborators at once
- Tight deadlines where waiting for handoffs would put the response at risk
- Longer or more complex answers where different people can own different parts
When to use Work in Sequence
- Questions that need a clear approval order, such as SME review, then legal, then final sign-off
- Sensitive or high-risk content where only one person should edit at a time
Edit mode vs. Suggestion mode
| Mode | Use it when |
|---|---|
| Edit | You own the answer, or you're making small fixes like typos and formatting. |
| Suggestion | You're reviewing someone else's work, updating content you don't own, or want the author to approve changes first. |
Best practices
- Assign before you start. Project owners should assign questions and sections up front so everyone knows what they own.
- Resolve suggestions and comments as you go. Accept or reject suggestions and close comment threads promptly so the final answer stays clean.
- Use version history as your safety net. Review what changed, and restore a prior version if needed.
Limitations during Preview
The following will be supported with the General Availability (GA) release:
- Focus Mode and comment notifications are not yet supported.
- Filtering to all comments is not yet supported. During Preview, you can separately filter to entries with comments that mention you and entries with open comments.
