Overview
Brand Voice Controls give Admins a single place to define your organization's tone, style, and terminology so every project starts from the same on-brand foundation instead of each team recreating writing guidelines from scratch.
Once your Brand Voice is set up, it automatically carries into Project-level response customization and into Automated Answers, so your team doesn't have to reconfigure tone every time.
Who can set this up
Setting up and editing your organization's Brand Voice requires Brand Voice permissions, granted by your Loopio Admin. Anyone on your team can benefit from it once it's configured — only editing it is restricted.
Set up your Brand Voice
- Go to Admin → Content, then select the Brand Voice tab (alongside Styles and Export Themes).

- In the open text field, describe your organization's preferred tone, terminology, writing style, and any words or phrasing to avoid. Write it the way you'd brief a new writer joining your team.
Tip: Marketing or Brand teams will typically have documentation about your organization’s brand voice, so be sure to check in with them.
- Not sure where to start? Use the Recommended Template by selecting “Copy Template” to paste this into the Brand Voice field, and easily craft your Brand Voice. We recommend including at minimum the following guidance to make your Brand Voice comprehensive:
- Tone and style
- How we refer to ourselves and the reader
- Preferred terminology
- Avoid
- Structure and formatting
- Evidence and claims

- Click “Apply Voice” to save your changes.
That's it — your Brand Voice is now live across your organization's Projects.
Applying Your Brand Voice
Your organization's Brand Voice is automatically available when using Automated Answers (with AI Generation) and Edit with AI within every Project — no per-Project setup required.
- Brand Voice itself can't be edited or overridden at the Project level. This gives you the certainty that every Project is consistent with your organization's approved voice.
- If a Project needs something tailored specifically for the particular response — industry-specific phrasing, a client's preferred terminology — Project teams can add supplemental instructions in the open text box at the customization step. These instructions layer on top of your Brand Voice; they don't replace it.
Using Brand Voice with Automated Answers
In Step 3 of Automated Answers (“How would you like to customize your response?”), the Tone of Voice field reflects your Brand Voice:
- Brand Voice configured: the field shows “Using organization brand voice” as a link. Select it to open a read-only view of your Brand Voice.

- Brand Voice not configured: Tone of Voice falls back to the standard presets (Unspecified, Professional, Conversational, Direct, Enthusiastic). If you have Brand Voice permissions, you'll also see an “Add Custom Brand Voice” action that opens Brand Voice settings in a new tab, making it easy for you to configure this.

The separate Response Instructions field (“give us some more details”) is independent of Brand Voice — use it to layer on project-specific direction, the same way project teams do at the customization step.
Using Brand Voice with Edit with AI
Once your organization's Brand Voice is configured, a Rewrite in Brand Voice option appears in the Tone of Voice instant actions on the Edit with AI panel. Select it to rewrite an individual entry to match your Brand Voice.

Frequently Asked Questions
Can different teams or Business Units have their own Brand Voice?
Not yet — today, an organization has one Brand Voice that consistently applies across all Projects.
Can a Project override our organization's Brand Voice?
No. Brand Voice can only be supplemented at the project level, not replaced or overridden. This is by design, to keep every project consistent.
Who can edit our Brand Voice?
Anyone granted Brand Voice permissions by your organization's Admin can edit the Brand Voice.
Does Brand Voice apply to Projects and answers I've already created?
No. Brand Voice does not apply retroactively — it only takes effect for new Project customization and new Automated Answers going forward. You’ll always know when Brand Voice is applied because it will be visible as part of the Automated Answers configurations when adjusting Tone of Voice settings.
