What is SmartScan?
SmartScan is your faster, smarter way to import Project documents into Loopio.
Powered by Loopio’s Response Intelligence, SmartScan automates the process of turning your files into a Loopio Project. This means you spend less time importing your document and more time focused on responding.
When Should I Use SmartScan?
SmartScan can be used with Word, PDF, and Excel files. It currently works best with shorter, consistently formatted documents.
SmartScan supports automatically detecting most common questionnaire (RFP, RFI, Security Questionnaire, and Due Diligence Questionnaire) that are structured as questions-answers.
As SmartScan uses AI, and because every questionnaire looks different, we always recommend that you review what’s been detected and make edits and/or additions to the import as needed.
If SmartScan does not work well for your specific document, you can create a new project and re-import it without SmartScan enabled using the Classic experience.
SmartScan is Loopio’s investment in an AI-driven import solution that can intelligently adapt across many document formats. Classic import is powered by a logic-based engine, which presents a limit on how much it can automate across the wide ranging needs of files.
Note: A few capabilities from Classic import are not available in SmartScan today. If your workflow depends on some of the below, Classic import remains fully supported and based on your feedback we are continuously improving SmartScan.
- Checkboxes and additional answers (not yet supported, coming soon in Q3)
- Character limits: while this is not yet supported during import, they can be added in the project workspace.
- Responding and editing in SourceView (SmartScan supports a read-only version of SourceView)
- Creating projects from a Project Template or CRM
- Excel files with conditional questions
- Files where answers have been pre-populated and answers need to be imported into Loopio
Importing a Project Using SmartScan
- Create a new Project
- Enable SmartScan using the Enable for this Project toggle in the New Project step
- A single document can be attached during the Create Project workflow. Within a Project, additional documents can be added through the Project sidebar.
- Click Next to initiate the SmartScan process
- Your document will be automatically mapped using SmartScan, and you will be able to review and make edits before importing:
- Adding a mapping: If any mappings are missing, highlight the text and select a mapping type
- Editing a mapping: To edit an existing mapping, click on it and select Change Mapping Type
- Adding or editing an answer location: First select the question, next hover on a new location and click the ‘+’ pill. You can choose if you would like to replace the default answer location or add an Answer Set
- Adding a mapping: If any mappings are missing, highlight the text and select a mapping type
- Bulk delete questions: hold Shift to bulk select questions to remove multiple questions at the same time.
Drag-and-drop Answer relocation: it’s easy to update an answer location with our drag and drop functionality. Select the answer pill, select Move Answer Location and click the document location where you want the pill to go.
- Focus Mode and Show All views: when you select a mapped pill, you will automatically be in Focus Mode. This makes it easier to review, especially in documents with high content density where mappings could overlap. To Show All mappings again, simply hit ESC on your keyboard.
- When you are happy with the mappings, select Confirm and Import to import your document
